wordup GmbH (hereinafter “wordup”) provides a variety of services, such as translation, proof-reading, editing and foreign-language typesetting. To this end, we collaborate with a national and international network of skilled professionals.

The purpose of this Privacy Statement is to inform you about the processing of any and all personal data that is uploaded via our website or that is shared with us directly (either orally or in written form) and that we store and process in connection with the use of our services.

We consider your data to be private and confidential. Naturally, therefore, we collect only personal data that we absolutely need in order to fulfil the orders we receive. The data that we store is administered with care and protected against any form of misuse.

Everyone has the right to the protection of their privacy as well as protection from misuse of their personal data based on Article 13 of the Federal Constitution of the Swiss Confederation and the provisions of Switzerland’s federal data protection legislation (FADP, SR 235.1), as well as the General Data Protection Regulation (GDPR) of the European Union. We comply with these provisions on our website and in our business processes. In addition, wordup has taken suitable technical and organisational measures to ensure that the external service providers we work with also comply with these data protection provisions.

This Privacy Statement applies both to wordup’s website under the domain “wordup.ch” and to the conduct of business by wordup in general.
In opting to make use of the services of wordup, you agree to the terms of this Privacy Statement. By doing so, you are declaring that you will have obtained the prior consent of any other person whose personal data you share with us to be processed.

wordup may refer to web pages of third parties. Please be aware that wordup has no influence over these pages. Likewise, it has no influence over external pages that contain references to the offerings of wordup. Thus, wordup cannot guarantee that the content of such pages is accurate or that the pages are free of malware (e.g. viruses). Responsibility for the content and services provided on linked pages or web services rests entirely with the third party concerned. wordup accepts no responsibility whatsoever for such pages or web services.

4. What happens with your data?
a) General
wordup processes only data that is necessary to make a functional website and user-friendly content and services available and data that you may have actively shared with us, either via the website or via other channels. We keep the personal data that we collect for as long as necessary to fulfil the purpose of its collection. Legal requirements or other obligations may result in the retention of data for a longer period.

b) Storage when a form is filled out
If you fill out a form on our website (e.g. a contact form), we will process the data that you provide to us to the extent that doing so is required to fulfil the purpose of the processing and/or completion of the order. Normally, the provision of information is optional. Mandatory fields are labelled as such if we need the relevant information to fulfil the purpose of the processing or to fulfil an order we receive.

c) Storage in connection with the transfer of information by email, telephone or post
wordup collects personal data relating to current and potential customers, partners and freelance professionals that they share with us to enable us to clarify the scope and terms of orders and fulfilling these orders. We store this data on our own system. We collect names, private or professional contact details, websites and other basic information to the extent necessary to achieve the agreed purpose (offers, orders, collaboration on a recurring basis). To the extent necessary and expedient, we also store other data, some of which is personal data. Specifically, we are referring to the personal data contained in the documents that we translate, edit, etc., as well as reference data, such as the spelling of names and birth dates according to identification papers, notes from consultations with our clients and correspondence.

d) Storage for the purpose of web analytics
When someone accesses wordup’s website and web services, the following data is recorded in log files: IP address, date, time, browser request and information about the device used, including the operating system and browser, that it transmits. This data is evaluated by web analytics tools (see below). wordup’s purpose in this respect is to continually improve our communication.

Google Analytics
This website uses Google Analytics, a web analytics service provided by Google Inc. (“Google”). Google Analytics uses “cookies”, which are text files placed on your device to enable an analysis of your use of the website. Normally, the information generated by cookies about the use of this website is transmitted to and stored on a Google server in the United States. Due to the activation of the anonymisation setting on this website however, your IP address will be truncated within a European Union member state or another state that is party to the Agreement on the European Economic Area before transmission to the US. In exceptional cases only, the full IP address will be transmitted to a Google server in the US and truncated there. Google will use this information for the purpose of evaluating the use of the website in order to compile reports on website activity for the website operator and to provide other services relating to website activity and internet usage. e) Social networks and other third-party services
wordup manages various accounts and profiles on social networks, such as Instagram, Facebook and LinkedIn. These pages and services are provided and operated by third parties. Each of these sites has its own data privacy policy.
There are also third-party services, e.g. Google Maps, that are directly embedded into individual pages of wordup’s website. The providers of these services also use cookies and other tools. When wordup’s web pages are used, information about the user is automatically transmitted to these companies. We wish to emphasise that in such cases, the data privacy policies of the relevant service provider apply. wordup has no influence over the collection and further use of this data by these services’ operators. wordup has no way of knowing how much data they store, where they store it and for how long, or to whom they might transmit it. Moreover, we cannot ascertain the extent of compliance with duties to erase data that these operators may have, nor can we determine what kind of analyses they perform or connections they make with the data.

Google Maps: The maps service Google Maps, provided by Google LLC (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA), is used occasionally to display an interactive map and to generate route maps.If you use Google Maps, information on your use of this service (e.g. your IP address) may be stored and transmitted to a Google server in the United States.

5. Who has access to the data? Is data transmitted abroad?
The data is collected and processed by the employees of wordup GmbH. To fulfil the incoming orders, we work with a national and international network of skilled professionals. Your data is processed in Switzerland and in the European Economic Area. Providers that have a registered office in an EU member state are bound by the GDPR. Thus, adequate data privacy safeguards are always guaranteed. Occasionally, in connection with collaborative projects, data may be processed outside of the European Union and the European Economic Area. When data is to be processed in a state whose legislation does not ensure an adequate level of data protection, as determined by the European Commission, we ensure that the data is protected by adequate means through direct contractual agreements. Persons who process personal data on our behalf receive only the documents and personal data that our customers submit to us specifically to enable the fulfilment of the order. All our employees and other parties who are involved in fulfilling orders are bound by an obligation of secrecy.

6. How, where and for how long do we store personal data?
wordup records the personal data in its own system and retains it to allow us to contact the customer, to simplify processing in the event of a future contract and to enable us to provide information to the customer. We retain the personal data at least until wordup no longer has a legitimate interest it its storage – for instance, until full payment has been made – and thereafter until the customer withdraws their consent to its storage.
We host our website, our system and the entire database in Switzerland.

7. Your rights
You have the right to request information on the processing of your personal data by wordup at any time, free of charge. To do so, please contact the office specified below. Additional rights, such as the right to have data erased or corrected, the right to restrict the processing of data and the right of data portability, exists within the framework prescribed by law. Individuals whose personal data is processed by wordup have a right to lodge a complaint with a supervisory authority. In Switzerland, the competent supervisory authority for the protection of data is the Federal Data Protection and Information Commissioner (FDPIC).

The collection of data for the purpose of providing the website and the storage of data in log files are essential for the operation of the website. For this reason, the users of the website do not have a right to object to this recording and storage.

8. Data security

When you visit our website, wordup uses encrypted data communication based on TLS with the highest encryption level supported by your browser at the time of your visit. You can see whether an individual page of the website is being transmitted in encrypted form by checking whether the key or padlock symbol is displayed in the address bar of your browser.
General data processing: In addition to that, wordup uses appropriate technical and organisational security measures in connection with its data processing in order to protect your data against accidental or wilful manipulation, partial or complete loss, destruction and unauthorised access by third-parties. wordup’s security measures correspond to the current state of the art.
